Prospect (John Doe): "Hi Jane Smith. Glad we could connect. Frankly, our current process is a mess. We're a team of five, and everything is being tracked in a massive Excel spreadsheet. It’s impossible to know who followed up with whom, and I'm positive things are falling through the cracks."
Jane Smith: "I see that a lot. Can you quantify the impact of that? Is it just an annoyance, or is it causing bigger business problems?"
John Doe: "It's a big problem. I can directly point to two major deals we lost last month simply because our follow-up was too slow. We just looked unprofessional. We absolutely need a central hub where we can see all our leads and automate our follow-ups."
Jane Smith: "That sounds like a significant pain point. You mentioned a team of five. When it comes to making a decision on a new tool like this, what does that process look like for you?"
John Doe: "Well, I'm the project lead, and this is my number one priority for the quarter. My VP, Michael Brown, will have to give the final sign-off, but she's asked me to find a solution and make a recommendation. As long as it fits our requirements and budget, she'll almost certainly approve what I bring her."
Jane Smith: "That's great. And speaking of budget and requirements, what kind of timeline are you working with?"
John Doe: "It's pretty urgent. We have a massive new marketing campaign set to launch on December 1st, and I cannot have us running that campaign using our current spreadsheet system. We need to have a new solution chosen, implemented, and our team fully trained before that date."
Jane Smith: "Understood. So, we'd need to get you fully onboarded by mid-November at the latest. That's definitely achievable. Given that tight timeline, have you allocated a specific budget for this project?"
John Doe: "Yes. I'm hoping to keep the all-in cost for the first year around $15,000. Our main priority is solving the problem, so there's some flexibility, but that's the number I’ve put in my proposal to Michael."
Jane Smith: "That's very helpful. Based on everything you've said, I'm confident our 'Pro' plan would be a perfect fit, and it lands right in your budget. The next step I'd recommend is a 30-minute live demo... (etc.)"
